Terms & Conditions
Introduction
To ensure you receive the best experience from your class membership with Samantha Baird Dance Co., to understand our responsibilities to you and your responsibilities to us, please read the following terms and conditions. The following policies exist to safeguard the wellbeing of our students. The school will review and amend its policies on a regular basis and advises parents and pupils to read this document thoroughly to ensure a clear understanding is gained. Please contact a member of our team if you require further information.
Enrolment and Payments
- The system we use is Class For Kids. All registrations and payments are set up through our link which can be found on our social media accounts (Facebook : Samantha Baird Dance Co. and Instagram : @samanthabairddanceco_).
- In order for a place to be kept open for your child in our classes, payment is required monthly, by subscription only. Payment will be taken from the account you specify on the 1st/2nd of every month.
- Your booking is not confirmed until payment has been received for enrolment. Paid for spaces will be given priority.
- Fees are the cost of the whole years worth of classes, split into 12 equal monthly payments. Fees are reviewed annually. We reserve the right to make changes to these amounts and/or collection dates. In this case, you will be notified via email prior to collection.
- Class fees are not inclusive of performances and examinations. Additional payments may be required to take part in productions and examinations.
- An annual enrolment fee of £10 is due at the time of enrolment and every August thereafter.
Late Fees
- Any late payments received after the 6th of each month, will be subject to late fees. On the 7th of each month, a late fee of £6 will be added to your Class For Kids account and every subsequent 7 days until fees are paid. In the case of owed fees being later than the 14th of the month, your child may not be permitted entry to class until fees are up to date, and any missed classes will still be chargeable.
General
- Any medical conditions MUST be disclosed upon registration, and the responsibility falls on you, the parent/guardian, to update us as necessary thereafter. It is imperative that we are always fully aware of any health implications, for your child’s safety and your own peace of mind.
- Parents/guardians are not permitted to watch weekly classes. However, there will be multiple opportunities where parents/guardians will be invited to watch performances and view the child’s progress each year.
- In the event of unforeseen circumstances (weather conditions, teacher illness etc.) the school will do everything possible to ensure that classes are not disrupted. However, if deemed necessary and classes do have to be cancelled, fees will not be refunded. We will endeavour to reorganise the class, however this could be on any day of the week or an online alternative.
- Food and fizzy drinks are not permitted inside the cloakroom or studio. We recommend bringing a bottle of water to stay hydrated. There will be access to water to fill bottles if needed unless told otherwise.
- Mobile phones must be kept on silent and kept inside bags during classes. However, if you choose to bring valuables to classes, we will not accept responsibility for any losses or damages incurred on the premises.
- In the event of an accident or extreme illness and parents/guardians cannot be contacted, we are in loco parentis and we will call an ambulance unless we have received specific advice to the contrary from parents.
- The teacher must be notified if someone other than the parents/guardians are collecting your child. If you are going to be late to pick your child up, you must contact the school to inform us.
- Students should not arrive at the studio earlier than 5 minutes before their class and will then be expected to behave impeccably whilst waiting in the cloakroom for the teacher to invite students into class.
- All parents/guardians/students must wait in the cloakroom until the end of the previous class, to then be invited into class to pick up/drop off students.
- The school reserves the right to change timetables, staff, and also parent viewing days if deemed necessary.
Safety
- Safety of our students is a priority at Samantha Baird Dance Co. All staff are PVG checked and First Aid trained.
Physical Contact
- Physical contact between the teacher and the student may be required in an appropriate manner from time to time, to teach and correct movements.
Photos and Videos
- There are occasions when photos or videos of your child may be taken during class or performances, which may be used by the school for promotional purposes. Parents/guardians should inform the owner of the company if they do not want photos of their child to be used.
Illness, Absence and Injury
- It is essential that any illness or injury be reported to the school immediately.
- In the event of a serious illness or injury where students cannot attend classes, if arranged with the company owner, subscription fees can be paused and the place will be held for the duration of illness/injury and payments will be restarted with immediate effect.
Notice of Intention to Leave
- Verbal notice to a teacher will not, under any circumstances, be accepted.
- At least 1 months notice is required of the intention to remove a student from any classes. Notice must be given in writing in an email, sent to our email address : info@samanthabairddanceco.co.uk
- Once notice is received, one more payment will be required on the 1st of the following month before your subscription is cancelled.
Uniform and Hair
- Once enrolled in the school after trial class, the full and correct uniform must be worn at all classes and rehearsals. Hair must be worn in a bun, ponytail or plaits. Loose hair is not allowed and pupils may be refused entry to class if hair is not off the face and the correct uniform is not worn.
- Correct uniform consists of :
- Contemporary : Samantha Baird Dance Co. T-shirt, plain black leggings and pink canvas ballet shoes.
- Ballet : Freed RAD Chloe Leotard in Lilac, Freed RAD Georgette Wrap Dance Skirt in Lilac, peach ballet socks, full sole leather ballet shoes in ballet pink.
- Jewellery must not be worn during classes, and, for security reasons, we recommend it is not brought into the premises.
- Dance shoes must not be worn outside.
Examinations/Shows
- Parents/guardians will be notified of the schools intention to run an exam session. These are completely optional, communication from parents/guardians is essential as to whether or not their child will be put forward for the examination.
- Prices of examinations will depend on grade and dance style. A small fee may be added to the cost of the exams, per students for studio hire etc.
- Students must be available for extra rehearsals for examinations if required. The school will endeavour to issue a schedule via email as far in advance as possible to allow for planning.
- When the school holds a dance show this will be communicated with the parents/guardians. All events are a choice, therefore show participation is not compulsory. However, communication from parents/guardians is essential as to whether or not their child will be participating in the event.
- Students must be available for extra rehearsals for productions. Students who fail to attend ALL show rehearsals, risk being excluded from the showcase. The school will endeavour to issue a schedule via email as far in advance as possible to allow for planning.
Discipline
- Unruly, disruptive behaviour in class will not be tolerated. We have a strict anti-bullying policy in place and expect our students to adhere to this at all times.
- Our staff will not tolerate abusive or disruptive behaviour from students or parents. We will treat everyone with respect and appreciate the same in return. Consistent unruly or aggressive behaviour could result in termination of class membership.
- We believe in teaching boundaries and setting a good example in line with our positive ethos to build our students confidence.
- Commitment, attendance and good time keeping are expected at all times.
- It is the responsibility of the students to catch up on any missed work due to absence. Home practise out with class is essential for progress and development.
